Dear Potential Exhibitor,

On November 16 through 18, The Pennsylvania State University and Interstate Oil and Gas Compact Commission will co-present the 2011 Marcellus Summit. The conference will be held at The Penn Stater Conference Center Hotel in State College, Pennsylvania. We are expecting 400 to 500 participants. We invite you to participate as an exhibitor and ask that you review the following information if you choose to participate.

The Marcellus Summit will identify the challenges, opportunities, and common goals among key stakeholders associated with environmental concerns, regional infrastructure development, issues for local governments, local economic opportunities, and legal issues related to natural gas development so that stakeholders can make informed, educated decisions that best suit the needs of the region.

2011 Marcellus Summit ~ Exhibit Time Schedule

Thursday, November 17
7:00–8:00 a.m.  Exhibit setup and registration
8:00 a.m.–6:30 p.m. Exhibits are open
5:30–7:00 Research Poster Session and Reception in Exhibit Area
Friday, November 18
7:30 a.m.–3:00 p.m. Exhibits are open
3:00–3:30 p.m. Dismantle exhibits

The exhibit fee, $845 (for-profit agencies) and $495 (nonprofit agencies), includes one exhibitor per booth, an 8’x 8’ draped booth, conference materials, name badge, refreshment breaks, buffet lunch on Thursday and Friday, and the Thursday evening reception. Included in the 8’x 8’ booth is an 8’ drape back wall, a 3’ drape side rails, a 6’ topped and skirted table, a chair and waste receptacle, and signage. Large pieces of equipment that do not fit within the booth space should not be displayed. 

The fee for each additional exhibitor at the same booth is $365 and includes conference materials, name badge, refreshment breaks, buffet lunch on Thursday and Friday, and the Thursday evening reception. Anyone working in an exhibit booth must be registered and identified by wearing a conference name badge at all times.

The exhibit hall is adjacent to the general session room. Conference attendees will have time before and after sessions, during registration, refreshments breaks, lunches, and the Thursday reception to visit the exhibits. A list of the exhibitors and their contact information will be provided to attendees.

Fifty-three exhibit booth spaces are available, and they do fill quickly. Assignment to booths will be made on a first-come, first-served basis when all forms are submitted. List your top three choices of available booth numbers on the exhibitor registration form.

Exhibit space cannot be reserved until we receive the following: (There can be NO exceptions.)

Deadline for returning forms is October 26.  Return all necessary registration forms as soon as possible, as exhibit applications will be denied once booth capacity is met.  

Exhibitor Registration: Mail your completed Exhibitor Registration Form, signed Agreement for Exhibitors Form, and payment to Penn State no later than October 26, 2011. To pay with a credit card, visit our registration page or call 800-863-5164. You should then mail the signed exhibitor agreement. 

Confirmation: The exhibit coordinator will confirm your enrollment and booth location. You will be alerted promptly of any cancellations or changes. If some unforeseen event forces Penn State to cancel or postpone the conference, you will receive a full refund of your registration fee.

Refunds: Refunds will be issued if notification of cancellation is received in writing by October 26. Send your written notice by fax to 814-863-5190 or by e-mail to ConferenceInfo1@outreach.psu.edu. A $50 administrative fee will be charged for all cancellations. After October 26, no refunds will be issued.

Lodging: A limited number of rooms have been set aside at the conference location. Call or fax The Penn Stater to make your room reservation. Be sure to identify yourself as a participant in the 2011 Marcellus Summit. Please give the reservation clerk the following reservation identification number: MARK11A. Reservations should be made at least thirty days prior to the start of the conference.
